Physical donations, not a fundraising CRM
This work concerns goods: donation lots, storage locations, intake, and handoff. Donor relationships, fundraising campaigns, and accounting are different jobs. If those are what you need, an existing nonprofit CRM or finance product may be a better starting point.
Likewise, a straightforward inventory list may not need custom software. Look at existing inventory products first. The custom conversation starts when the rules and exceptions in your operation do not fit them.
Experience from a disaster-relief warehouse
The warehouse project brings bins, donation lots, and exceptions onto a shared screen. Phone screens support scanning a lot at the dock, holding a cold chain, and keeping a missing photo from allowing product to move.
The recorded outcome is a hold visible on screen rather than on a clipboard that left with third shift. The project write-up explains the scope and care arrangement without inventing measured savings or naming the nonprofit.
Map the donation’s journey before building
A good brief follows one lot through the current process:
- How a donation arrives and what staff need to record at intake.
- How people identify its location, status, and next handoff.
- What creates a hold, what clears it, and who needs to see the exception.
- The phones, computers, connectivity, and data already in use.
- Any required reports, imports, or integrations, so they can be scoped explicitly.

Questions before a build
Is this an inventory product I can subscribe to?
No. It is custom development for an agreed workflow. The warehouse example is a client-specific build, not a ready-made product or a feature guarantee for another organization.
Will it include offline scanning or accounting integrations?
Those are requirements to discuss, not features established by the existing case study. Include connectivity and integration needs in the brief before we agree on scope.
What budget should a nonprofit expect?
The warehouse example was about $50,000 to build and $2,000 a month for care. Your workflow may be smaller or larger. Those are project figures, not a minimum, package, or quote.
